Ensuring Your Stock Feeds Sync Inventory Correctly
This guide explains the key steps to ensure your Stock Sync feeds update inventory accurately across your store, based on common issues and resolutions.
1. Verify SKU Matching
Stock Sync relies entirely on SKU matching.
- Map the SKU field exactly as it appears in your feed.
- Ensure no additional characters (spaces, commas, formatting) alter the SKU.
- If your file contains no headers, confirm you selected the correct column.
If SKUs do not match, the product will not update.
2. Check Quantity Mapping and Smart Settings
The Quantity field controls how Stock Sync updates inventory. Make sure the correct method is selected:
- Overwrite existing quantity: Replaces the current quantity with the value in the feed.
- Add/Deduct (+/-): Adds the feed value to the current quantity. This can cause inflated stock levels if not intended.
- Negative values: Any negative quantity in the feed is automatically converted to 0.
Choose the method appropriate to your workflow. For most suppliers, “Overwrite” is recommended.
3. Confirm Location Settings
Each feed can update only one location.
- Ensure the correct inventory location is selected.
- When using multiple suppliers, confirm each feed is assigned to the intended location.
- If the wrong location is selected, quantities may appear missing or inflated.
4. Review Store Product Filters
Filters can prevent products from updating. Examples include:
- Updating only variants with Track Quantity enabled.
- Restricting to specific vendors or product types.
Disable filters if they block intended updates.
5. Validate the Feed File
If a feed does not update:
- Make sure the file loads correctly when opened in a browser or tool.
- Ensure column separators or file formats (CSV/XML) match the feed settings.
- Fix any mapping errors such as invalid expressions or incorrect nodes.
6. Check Automation and Feed Status
Inventory will only update if the feed is active.
- Ensure the feed is enabled.
- Check scheduling settings (hourly, daily, etc.).
- If needed, run a manual sync to confirm it processes as expected.
7. Compare Store Quantities by Location
If quantities appear incorrect:
- Review each location separately.
- Confirm which feed updates which location.
- Remember: If a feed uses Add/Deduct, it will keep increasing or decreasing quantity over time.
8. When Products Disappear From a Feed
If a product is missing from the supplier feed:
- Set missing products to 0 by enabling the relevant option.
- This prevents out-of-stock items from appearing available.
9. Logs & Troubleshooting
Use the feed logs to see:
- Whether a SKU matched.
- What quantity was received.
- Whether the product was updated or skipped.
This helps diagnose mismatches or feed issues.
