What should I do if products are not grouped correctly during the import process?

When products are not grouped correctly during import, it usually means Stock Sync cannot reliably identify which rows belong to the same product. This results in items being imported as separate products instead of variants.

Common reasons this happens:

• The feed does not contain a consistent style code or any unique identifier shared across all variants of a product.
• Some rows contain a style code while others are blank.
• Attempting to group variants using ITEM_DESCRIPTION fails because descriptions vary too much between rows.
• Filters may exclude rows needed for complete variant grouping.

How to resolve the issue:

  1. Ensure all variants share a consistent grouping value

Ask your supplier to add a dedicated column where all variants of the same product have the same value. This is the most reliable way to group variants.

  1. Avoid grouping based on inconsistent fields

Do not rely on ITEM_DESCRIPTION or any column where the wording is not exactly the same for every variant.

  1. Check your filters

Filters that exclude rows with blank values or specific statuses may prevent some variants from being included, resulting in incomplete grouping.

  1. Use separate feeds if needed

If some products have missing style codes and cannot be grouped, you can:
• Create one feed for products with style codes.
• Create a separate feed for products without style codes.
This prevents grouping failures and allows items without style codes to be imported individually.

  1. Refer to the variant grouping guide

Your supplier can use this reference to format the feed correctly:

Following these steps ensures Stock Sync can correctly merge all variants under one product during import.
